Loan Coordinator

Department: Financial Aid
Location: Des Moines, IA

General Purpose of Job:

Responsible for the loan process including processing loans, disbursing loan funds, reconciliation, coordinating entrance/exit interviews process, etc.; managing endowed scholarships, default management, financial literacy, and customer service.

 

Essential Functions of Job:

  • Administer the Federal Direct and alternative loan programs.
  • Coordinate the processing of Federal and alternative loan programs.  This includes electronic applications and paper applications.
  • Ensure eligibility for loan proceeds before funds are disbursed.
  • Responsible for electronic funds transfer received for all student loans.  Distribute loan funds in accordance with federal regulations.  Return funds to lender (because student is ineligible or because student failed to endorse the paper check) within specified time frame as dictated by the federal regulations.
  • Responsible for both entrance and exit interviews.
  • Reconcile EFT account with business office and COD.
  • Serve as the systems administrator for any loan software products.
  • Counsel students/families regarding the loan process, repayment, etc.
  • Maintain close contact with outside entities that process and maintain loans.  Act as a mediator for students when necessary.
  • Maintain procedure manuals for loans, outside scholarships, and endowed scholarships.
  • Assist in the monitoring of changes of law and regulation and the development of policies and procedures for the administration of student aid programs.
  • Assist Federal Work Study Reconciliation.
  • Assist Director and Assistant/Associate Director in awarding student financial aid packages.
  • Coordinate with Financial Aid Coordinator to process electronic aid applications and corrections through the Central Processing Center.
  • Assist Financial Aid Coordinator to send award letters.
  • Assist in the Verification process of files selected by the US Department of Education in accordance with federal regulations.
  • Plan and execute default prevention and financial literacy activities
  • Perform customer service duties as needed.  Answer phones, help students with questions and paperwork, and accept incoming forms and documentation.
  • Assist Assistant/Associate Director and Director with special projects
  • Coordinate summer awarding process
  • Maintain summer COA budgets.
  • Develop and coordinate summer aid materials.
  • Package summer aid applicants.
  • Follow-up for missing information.
  • Certify and disburse summer loans.
  • Coordinate disbursement of summer Federal Pell Grants with Assistant/Associate Director.
  • Repackage students in specific cases (i.e., declined work award, denied PLUS loan, etc.)
  • Award and manage the annual, restricted, and endowed scholarships.
  • Award and manage outside scholarships.

 

Qualifications and Requirements:

  • BA/BS Degree preferred.
  • Previous financial aid experience preferred.
  • Knowledge of both federal and state financial aid policies and regulations is beneficial.
  • Knowledge of institutional aid and the policies that govern it.
  • Ability to communicate effectively with students, parents, colleagues, and outside agencies.
  • Skills that are analytical and detail-oriented.
  • A basic knowledge and understanding of data processing systems.
  • Confidentiality is a must.

Working Conditions:

  • Attendance is required.
  • Overtime hours may be needed seasonally.
  • Normal office environment with little exposure to excessive noise, dust, temperature, and the like.
