Assistant Registrar

This position will provide assistance to both the Registrar and the Registrarís Office in serving the needs of students, faculty, and staff as they relate to academic records and graduation. Responsible for reviewing graduation petitions, certifying graduates, coordinating Commencement ceremony, and assisting with the many details necessary to maintain the academic integrity of student records.

Essential Functions of Job:

1. Performs the necessary functions related to graduation petition review and assures that graduation requirements have been met prior to the awarding of degrees. Executes additional review of each candidate one semester prior to anticipated graduation date. Issues final transcripts and diplomas once earned by students.

2. Coordinates all aspects of Grand Viewís annual Commencement ceremony including all preparations, equipment rentals, procurement of diplomas, and recruitment of volunteers.

3. Assists and advises the Registrar regarding record review and problems related to academic records.

4. Aids Registrar in maintaining integrity of student academic records.

5. Participates in all aspects of class registration and add/drop activities.

6. Contributes to the supervision of filing and managing permanent academic records.

7. Verifies student records to government and private agencies, chiefly as the primary institutional Veterans Affairs Certifying Official.

8. Answers questions from a variety of constituents in person, on the phone, and via e-mail, including providing assistance to the front desk staff.

9. Other appropriate duties as negotiated.

Qualifications and Requirements:

1. Excellent communication and organization skills.

2. Bachelorís degree required.

3. Ability to adapt to a diverse and often demanding workplace environment and to understand vague and implicit instructions.

4. Good keyboarding skills.

5. Extensive database and personal computer experience.

6. Strong ability to receive and analyze data.

7. Must effectively interact with faculty, staff and students in a professional manner.

8. College or University experience preferred.

Working Conditions:

Physical Skills and Abilities: Requires skills for succeeding in an office environment with use of technology and equipment including computers, phones, fax machines, copiers. Requires good hand-eye coordination, arm, hand and finger dexterity, including ability to grasp, and visual acuity to use a keyboard, operate equipment and read technical information.

Working Conditions: Work is performed in a normal office setting. Sits, stands, bends, lifts and moves intermittently during working hours. During course of day, can interact with students, faculty, and staff by computer, phone, or in person.

Regular office hours are Mon - Fri 8:15 - 4:30 during the academic year and 8:00 - 4:00 during the summer.  Additional hours as needed.
